We have already had our first question: (paraphrasing)

Q: How do I know if the person mailing the poles has my current address?

A: The addresses are requested directly from SCA Corporate. So as long as
your membership has your current address, you should be set.

Subject: [Cynnabar] Choosing our next Baron and Baroness: What to Expect

Greetings to the populace of this fine Barony of Cynnabar!

As our fine Baron and Baroness, Tairdelbach and Hannah announced in court at
the wonderful Terpsichore event, They are planning on stepping down, and
therefore we need to begin the process of finding Their successors. I am
tasked to that end and will do everything I can to make the entire process
smooth and transparent to all. If there are any questions at all as we move
along over the upcoming months, please let me know.

Today, I want to give everyone a brief outline of what to expect coming up
and some rough timing on when things will happen. Please keep in mind, times
may change some, but in general, here is how things will go:

First: Informal discussions - For those that may be interested in being the
next Baron and/or Baroness, Tairdelbach and Hannah are planning on making
themselves available to those interested candidates to talk with them
directly about the position. I will let Their Excellencies fill in the
details on those discussions. If anyone wants to talk with the seneschal as
well, I will be making myself available. Please note, these are not the
'populace Q&A' sessions, those come later.

Second: Letters of Intent - The seneschal (me) is required to make an
official announcement to the barony that Letters of Intent will be accepted
during a 30 day period. The window for sending in any Letters of Intent will
be around the month of June. Full details of what is required in the Letters
will be sent out later with the official announcement (this is NOT the
official announcement).

Third: Internal Discussions with Candidates - Cynnabar in the past has made
efforts to have any candidates available for questions by the populace. I
plan on continuing this and will look to schedule a set of question and
answer sessions for everyone. As I know not everyone can make meetings or
practices due to schedules, I will try to have these Q&A sessions at
different times so as many people as possible have a chance to ask questions
directly to the candidates. If you cannot make any of the scheduled Q&A
sessions, you can always send any questions to me to ask the candidates in
your stead. Please look for these discussions to be scheduled once we have
the official list of candidates.

Fourth: Pale Polling Notification - An official Pale notification that the
Barony will be conducting a poll must be made. The seneschal (me) must send
in the announcement to the Pale editor for submission/publication. We are
targeting the August Pale for this announcement.

Fifth: Polls Mailed Out (and returned) - Once the official Pale notification
is published, the Baronial polling letters may be mailed out (by the Group
Transitions Deputy). People will have 3 weeks to fill in and mail the
letters back in (to the Group Transitions Deputy) if they want their voice
heard by the Crown. Polls will only be mailed to paid members that reside
within the official zip codes of the Barony. Please note, the publishing of
the paid-member/zip code list happens only once per month. With the timing
required for getting everything done and poles created and ready for
sending, if you are not a current paid member of the SCA, get your
membership quickly to ensure you will be including in the polling. But fear
not if you miss it or don't reside within the official zip-code list, people
are still able to fill out a 'non-member poll' (available on the Kingdom
web-site) and send it in. These will be taken into consideration as well by
the Crown when they make their decision on the next Baron and/or Baroness.

Sixth: We Wait - At this point, once all polls have been mailed in by the
allotted timeframe, the rest of the process is handled by Kingdom with the
Transitions of Groups Deputy compiling the polls and providing them to the
Crown. The Crown will then make their choice of the next Baron and/or
Baroness.

Last: Transition - Their Excellencies Tairdelbach and Hannah are currently
targeting Grand Day of Tournament as when they will step down and when we
will invest the our new Baron and/or Baroness of the Crown.

That's the process and rough timing on things. So we have a little time
before anyone must officially submit themselves as a candidate. And a bit
more time before the official polling takes place. So if there is any
questions about any of this process, please feel free to ask me.

Look for more information upcoming soon. I know Their Excellencies will want
to start holding talks with interested parties soon.

In Service,

-Finn Finnegan O'Flynn
