[Cynnabar] BoC Meeting Minutes 3/09/15 meeting

I honestly believe that one should not hold an SCA office for extended
periods of time, no matter how awesome you are at doing that job. We must
give others a chance to come in and make their mark within the SCA and help
out as well. Also, having more people hold offices helps avoid burn-out
within the group and also keeps the group fresh (and clean smelling!). So as
I'm looking to do something more in line with my current.caliber, and hand
this office off in a few weeks to Mistress Kay. It weird. I will both miss
writing these meeting minutes up and at the same time be glad it's not
something I'll have to do anymore. But until I'm done.here they are!

Event and Demo Reports

Fighters Retreat (Feb. 28th, 2015) - Well attended. Talked about a lot of
things. Going to continue melee practice and looking at moving it to
Thursdays. There was the Non-fighter's Retreat held the same day be several
ladies of the Barony. They shared period beauty products and cut out tabards
for the Cynnabar armored fighters. 

Terpsichore at the Tower (Mar. 7th, 2015) - See previous e-mails for more
details on the event. Over 130 people were signed in by 2:PM (more came
later even). One gentle even flew in from Texas for the event. Income was
just over $1700 (including lunch tavern). Full numbers will be given once
all receipts are in. Day board went over well. Doing an exit survey for
feedback. The ball was a bit under attended, but they got all the way
through the ball. Few complaints. Lots of complements. Lots of new people!

Upcoming Baronial Events and Demos

Spring Revel (April 12th, 2015) - No new updates other than to send in award
recommendations and please come! 

St. Cecilia at the Tower (April 24th - 26th, 2015) - Lots of people at Terp
noted that they were coming back for St. C. Her Highness will be in
attendance so please send in Kingdom award reqs as well.

Spring Crown Tournament (May 23rd and 24th, 2015) - Things are going well.
We now have a new giant site map that is laminated and much better. Planning
on having 2 at the event. Pre-reg is opening this week. The website is very
nice. Next staff meeting is March 21st at 10:AM at Mistress Clair's
clubhouse.

Grand Day of Tournaments (Saturday November 7th, 2015) - No update.

Old Business

Demo: Penguicon (April 25th or 26th, 2015) - Request for the Barony to
support the fencing demo at Penguicon again this year. It was a big hit last
year and the fencers would like to do it again. It is acknowledged that it
is on the same weekend on St. Cecilia, but there is support for the fencing
demo outside our group as well so there should be enough to support both St.
Cecilia and the fencing demo at the same time. Also, the fencing demo will
most likely be schedule for a Sunday time slot, interfering even less with
the main St. Cecilia day. This is the 3rd of our 3 meeting
discussion/approval process. No issues or concerns. APPROVED!

Budget item: Fabric/materials for making new Baronial floor covering for in
front of Baronial thrones during court ($95 budget) - Giovanna and Millisant
has a nice design for doing a new floor covering for the Barony to use in
front of the Baronial presence. The design was shown and everyone liked it.
Targeting to have done by Crown. No issues or concerns. This is the 2nd of
our 3 meeting discussion/approval process. No issues or concerns. 

New Business

Budget item: Fabric and materials for making gift for Shadowed Stars
Baronial Investiture ($200 budget) - HE Ermenrich would like to make a gift
from Cynnabar to the new Barony being created, Shadowed Stars. A gift of
baronial baldrics we can make for them to help them out establishing their
identity seems appropriate. This request is for purchasing the materials for
making as many baldrics as we can for that price. This is the 1st of our 3
meeting discussion/approval process. Everyone liked the idea. 

Budget item: Archery supplies, general refreshing of used items ($200
budget) - Forrest Grey would like the Barony to buy general
refurbishment/supplies for the archery community (targets, ropes, backstops,
etc.)  This is the 1st of our 3 meeting discussion/approval process. No
issues or concerns.

Group Discussion

[Note: Something new here from your Seneschal. As our group approves budget
items, we sometimes lose track of where the funds went and/or when the
project was (or was not) finished. So I want to start at least putting in
writing any previously approved items so we can keep better track of their
progress. These are meant to be very quick check-ins and not any lengthy
group discussion.]

Status check on budget item:

List upgrades - No update.

Fabric for making new fighter tabards - Cutout. Need surged. Fabric bought
and receipts turned in.

Screens for t-shirts - 30 orders paid in full. Would like 20 more. 10 days
left.

Youth box - Needs painted. Receipts turned in?

New biz cards - Still needs printed and receipts

Baronial Ballista - Mostly done. Need field test. Monies are done. 

Announcements

Forrester Grey - Will be doing fitting for bows and arrows  at his house on
March 24th for craft night.

Baroness Genoveva - Is now the editor of The Pale! (Hooba!) April issue is
done and she will be doing a line of articles around the Gold Key collection
series. 

Gavriil - Looking for articles for the April 1st edition of The Citadel.
Please submit by the 21st.
