[Cynnabar] Agenda for 3/20 Business Meeting - VIRTUAL

Here is the agenda for tomorrow's VIRTUAL meeting.

Cynnabar Baronial Meeting March 20th, 2025 - VIRTUAL at pm - in attendance

Announcements:

   -

   Their Excellencies request award Recs! There’s a lot of events in the
   barony coming up and these would be helpful!
   -

   Golden Seamstress is April 25th-26th. It was requested of Their
   Excellencies that this be announced at our meeting!
   -

   Stay tuned for information on a traveling fighter practice. The dates
   and locations being considered are:
   -

      April 3rd in Kalamazoo
      -

      April 17th (potentially Red Spears in Toledo or Bowling Green.)

New Business:

   -

   Finn was asked to bring the cash boxes for Terp so he did an overhaul of
   the cashbox system.
   -

      The new system has 4 cashboxes, each with it’s own Key
      -

         They are stackable and fit into their own carry bag for easy
         transportation.
         -

      All of the paperwork has been cleared out, reorganized, and updated
      with the correct forms for gate.
      -

      He said that he’s willing to cover the cost or wouldn’t mind being
      able to be reimbursed if the group sees fit.
      -

      This was something I defaulted to Giovanna to approve but didn’t
      think it would be a problem if the group was willing to approve it.
      -

         We did discuss that this may be able to be covered within the $100
         policy the seneschal has discretion over for the group.
         -

      Giovanna is fine with it being paid from her discretionary funds.

Old Business:

   -

   Officer Changeovers

      Seneschal -

         Giovanna will be taking a class on Thursday evenings starting in
         February. Ceara will help with some meetings, but some may need to be
         canceled.

      Chatelaine
      -

         Daye is going to be stepping down sometime this year and would
         like to find a replacement. If you are interested, please let
either her or
         me know.

Events:

   1.

   Terpsichore (March 22nd Westminster, 2025) - Alina and Claire
   1.

      This weekend!.
      2.

      Will work with Finn to wrap things up for the payment of the site.
      3.

      Wanted to know if there would be any gold key available?
      1.

         A request for it has been made.
         1.

            They are going to reach out to Daye for info.
            2.

         Checking with Daye to see if the extra box could show up for
         anyone who needs it.
         1.

            Beth offered to take it if it is needed.
            3.

         Terpsichore post revel! There will be a post revel at our place
         (Midair & Alina) on Saturday night of Terp (this Saturday, March 22!).
         Contact Midair or Alina for an address.

            They will have lots of food and drink. Feel free to bring your
            own, but please take the drink back with you when you leave!
            4.

         A link has gone out to the barony to volunteer.

            Most positions needed are:
            1.

               set up and clean up.
               2.

               Gate from 11-1 PM

   Spring Revel (May 10th) - Possibly at the Island Park Pavillion?

      This is a possible date and location. No proposal has been created,
      yet.

         Her Excellency says this may be the best date for this event and
         would like to get the ball rolling.

         A blanket request of $500 was requested to make this (two of three
         meetings) The group didn’t have a problem with this, but seemed to
         want a proposal included in the meeting minutes just to cover
the basis.
         1.

            Everyone felt that this much wouldn’t need to be spent but that
            we rather get things moving to approve it.
            3.

         The fee would be by donation.
         4.

         There will be court, Tournaments, potluck… His Excellency stated
         Cake? Cookies? :)

   3.

   St. Cecilia at the Tower (June 14th) - Mieczko
   1.

      Looking for a food coordinator
      2.

      Things are moving along!
      3.

      The Ann Arbor Consort requested to perform during the concert.
      4.

      Site will open at 9:00am.
      5.

      Pale ad is being updated and website is being worked on.
      6.

      Feedback and commentary from the group: A beginner class or lecture
      class would be appreciated.
      7.

      There was a question raised about the concert portion of the event.
      Can we treat this as a demo/concert that is open to the public
      1.

         Is there a way to charge to get in the door? Is there a way to
         charge without waivers
         1.

            Giovanna has asked the Kingdom Seneschal but

   Grand Day of Tournaments (October 25 Monroe Fairgrounds) -
   Gregoire/Giovanna

      Looking for someone to help with food vendors.
      2.

      Looking for someone to assist with set-up and tear-down.
      3.

      Will be working on getting the insurance rider.

      Ooyama will be running the gate.

Their Excellencies -

Our next business meeting will be March 27th - In-person. Ceara will be
running the next meetings:

   March 27th: in-person

   April 10th being ran by Ceara - IN PERSON
   -

   April 17th Cancelled since the fighters will be out of town and the
   church isn’t available.
