OLD BUSINESS:

Regional Events

As we’d been approached about helping to host regional events – and we have
our own event to steward/co-host (Regional 12th Night 2027) this topic has
been of discussion for the past few weeks.

Hannah led a workshop at Val Day last weekend, which was attended by a
cross-functional group of folks from other Baronies. Others from Cynnabar
also attended (Her Excellency Valka, Johannes, and Godhit). We heard a lot
about how the other groups would like to present proposals on running
regionally supported events and found out that Andelcrag was awarded the
bid to host Spring Crown Tournament.

The workshop was all very positive and resulted in the following decisions:

   -

The purpose of working together is collaboration and assistance for each
other, so that we can see some of these larger events come back to our
   region.
   -

Each event would be solicited for help separately. There’s no “formula”
for a regionally led event. The event stewards of the “host” group would
reach out to leadership in each of the other Baronies to solicit help and
include a plan of how the work would be divided up for support. This will
likely be with “departments” to take on or a specific need (like a lunch
tavern). The plans would also include how the finances would work. Each
supporting Barony/Group would then decide if they would like to
   participate/help.

We will keep this on the agenda as a discussion point moving forward

Spring Revel Event - April 26, Island Park (Meeting 2 of 3)

Proposal put forward for this event by Simone

   -

The proposed total amount is $344 for this event
   -

The goal is our small spring gathering and fun for everyone.
   -

We would hold general revel activities like a potluck, martial
activities, and possibly a garage sale. We’d do the Baronial court and a
   photo.
   -

Assistance will be needed to help run some of the activities
   -

Throckmortion and Ugrath volunteered to be MICs for the day
      -

There were questions about the insurance and the alcohol policies for
the event. Simone reiterated that the costs for that were included in the
   proposal.

Children’s Healing Center (Asa) in Ypsi would like us to do volunteer
activities. They have been reaching out to area groups and businesses to
see how we can collaborate.

   -

Asa still has not heard back from them with their inquiry. We will take
this off the meeting agenda until there are more details that come out.

Claire (Not present)

   -

The class and ball lists have been posted online
   -

His Excellency, Bjarki, has offered to run a fundraiser as a lunch taven
for the day. Which he did clear with Claire.

Running from 11-1, more details on the menu and food will be coming
      out soon.
      -

It will be a fundraiser for the Royal Travel fund, and He will front
the money directly for the fundraiser
      -

We need to rent another room for Her Highness for a royalty room for the
day. The additional costs will be $85

As this falls under $100 (Financial policy, Section 5C), the group
approved this money so Finn can send out the check
      -

We decided that we should also verify that any “fudge” money was also
used towards the event before the additional funds.
