First, let me apologize again for any miscommunication. We thought that based on the regional Seneschal’s note that you were investigating if other dates were possible and were waiting to hear back from you on the results. I probably should have sent a note to you saying as much. 

 

However, after receiving your most recent note and then discussing it at our Baronial meeting last night and with our Event Steward for St. Cecelia, Cynnabar has determined that we are OK for you to host your event, Battle of the Inland Seas on the same day as our St. Cecelia at the Tower Event. 

 

I know that Baroness Giovanna is looking for ways for all of Pentamere to work together to help avoid same-day events, so hopefully by next year this kind of issue will not happen again.

Hello!

 

I have no wish for you to cancel your event!  My request was to see if another date could be found so as to not overlap with another Pentamere event.  If possible.

 

Again, if it is not possible, then continue forth with the conversation with Cynnabar.  My only aim has been to make sure that Pentamere groups can support each other's events, and overlapping dates can prevent this.  And I know there are members of Cynnabar that would like to attend Battle of the Inland Seas.

 

But I also am not trying to stop anyone from holding their events.  I really don't want to be the bad-guy!  :)  And I am sure that no group wants to be the cause of another group having to cancel the date.  If another date cannot be found, then see what Cynnabar says and go from there.

Secondly, Baroness Giovanna, I apparently misunderstood the intent of your email, in which you "highly recommended" that we find another date.  I did not realize that was you saying that we "had" to find another date. My understanding of the rule was that it was between the Seneschals of the groups holding the conflicting events, as per the wording at the bottom of the midrealm calendar:

Excerpt from Middle Kingdom Law - XVI-1100

Events cannot be placed on the Kingdom Calendar or in the Pale if scheduled for a date already reserved by a group within a 100-mile radius, unless the group hosting the event previously scheduled gives permission.

If the first group denies permission, exceptions permitting the scheduling of the second event within the 100-mile radius include specific-focus events that will clearly and unmistakably appeal to generally very different audiences, i.e. a dance event and a war practice, an equestrian challenge and a bardic arts symposium, etc. This determination will be made by the Kingdom Calendar. If permission is refused and the difference in audience appeal is not clear cut, the Kingdom Seneschal will make the final ruling in the conflict.

 

My initial email was sent to the Seneschal of Cynnabar, as directed by the Midrealm website, so I expected a response from them.  I understand the desire to try to avoid any conflict at all, truly I do, and believe me, if the event was even remotely anything like ours I could see the concern.  If this is a new policy, then I hope we can get the Midrealm calendar updated, so that other new Seneschals do not make the same mistake.  This is my first act as our new Seneschal, and I'm trying very hard to follow all the rules.  I read that excerpt, and definitely felt that our events fell into the "specific-focus event that will clearly and unmistakably appeal to generally very different audiences".  If necessary, I will request that none of our classes or activities (other than perhaps feast entertainment) are musically inclined.

 

Otherwise, if the recommendation from Baroness Giovanna stands as the final decision, I will alert my shire and we will cancel the event.

Yes, I did write Celestria some time ago and request that Altenberg find a new date and then I made mention to this to Cynnabar.  

 

I made it understood that this might not be a possibility, but that I was very keen on Pentamere trying to be careful with not over-lapping on the calendar.  If Altenberg was completely unable to move the day of the event, that I suggested that they open back up the conversation with Cynnabar.

Sorry for the lack of reply on Our part. We had heard from the Regional Seneschal that the matter was under discussion within Altenberg to find a new date. Hearing that you were waiting for a reply from Us or the Barony of Cynnabar is news! We have a business meeting tomorrow and We will be sure to discuss it and get back to you...if that's what's needed. It was Our understanding that BotIS was looking for a new date. Looking through the month of May, though, at this point... not sure where exactly that would fit!

 

We can assure you that the St. Cecillia event was held the weekend before (5/12) and BotIS was held the following weekend (5/19) this past year (2012) -- they were not in fact the same weekend. In the last 2 years We have made it a point to come to BotIS through invitation by your own people. It has been one of Our favorite events of the year having a great theme and we had asked the autocrat to schedule around it last year. This year, however, it wasn't on the calendar yet when the group was in discussion on our 2013 date. 

 

You have already copied Our group's seneschal and the regional this -- so I'm hoping they can chime in if there is more info that We as Baron and Baroness are unaware of since We do not make decisions directly for Our group.

Good Day to the Barony of Cynnabar, and to their Excellencies Baron Tairdelbach ua Conaill and Baroness Hannah Schreiber - 

 

I was very much hoping that we would have received some type of response by now.  I'm concerned that the lack of response means that we will be required to cancel our event.  Please allow me to provide some additional information regarding this issue.  

 

First, we both held our events on the same weekend last year.  We asked last year if we could combine the two events, as our site has more than enough room, and were turned down, so we did not stand in the way of your event, as our event is a heavily marshaled event, and yours, as you state on your website, "is a WORKSHOP for the purpose of helping musicians who play Medieval and Renaissance music to improve their craft."  To be perfectly honest, the only reason that you "beat us to the calendar" is because our Seneschal position was in flux for a few months; Due to personal reasons, our long standing Seneschal had to step down, a new one took their place, and then received a job offer that caused her to leave the shire and move out of the area completely.  I took over approx 1.5 months later.  Had that not occurred, the roles would have been reversed, and I can assure you that just like last year, we would not have stood in the way of you holding your workshop.

 

Secondly, we have been holding our event on this same weekend for the past several years.  It is an established event that we have worked very hard to bring back to life.  If we have to skip a year, we risk losing any progress we have made to have it back as a "long standing event".  

 

Lastly, our site is a local fairgrounds that predominately caters to the farming and 4H community here on this side of the state.  We acquired one of the only weekends in the spring and summer that are available for use at the fairground.  If we are not allowed to keep our date, we will lose the money we have as our deposit and will lose the ability to hold the event in that season at all.  

I hope that our request can be seriously considered, and that we can receive a response soon with a definitive yes or no.  If we are going to be forced to cancel our event, we will need to quickly get the word out to all the various forces in the kingdom who are looking forward to some good old fashioned pirating.

Greetings to the Barony of Cynnabar!

 

My name is Carol Girard (Lady Celestria de Cranham) and I am the Seneschal for the Shire of Altenberg, based in Mt. Clemens, MI.  

I am writing today to ask permission for us to have our events on the same weekend again this year.  I went to put in my request to put Battle of the Inland Seas XIX on the calendar for the weekend of May 17th - 19th, and saw that St. Cecilia at the Tower was scheduled for the 18th of May.  We have held our event this same weekend for the past 2 years, and would like to continue to do so.  Our event is being held in Armada, MI, which is 86 miles away from where your event is being held.  Additionally, I believe your event is an A&S (predominately Music) based event, where ours is predominately marshaled activities - Heavy Fighting, Youth Boffer, Archery & Thrown Weapons.
