Note to everyone! The comment that Birke says pregnancy is hard is NOT her
pregnancy, but someone else's. SO sorry for any
misleading/confusion/wondering.

Subject: [Cynnabar] BoC Meeting Minutes for 09/23/13 meeting

Hello everyone. I know these minutes are way late. But I at least wanted to
get them posted.

Event and Demo Reports

Mass Meeting - Went well. Lots of Cynnabar people and lots of people showing
up and showing interest. Very successful demo. One person already showed up
to a couple of local practices/meetings.

Rose Tourney - Lots of fun. Lady Arin was elevated to Laurel in a lovely
ceremony. Weldlake is now a full status group and a canton of Northwoods.

Upcoming Baronial Events and Demos

Closing the Range (Sunday, Oct. 13th, 2013) - Still planning, now has a
Facebook page.

Ale to the Victors (Oct. 26th weekend) - This is the return of the "medieval
tailgate" event hosted by Northwoods with our beloved Cynnabar as their
competition. While we are not hosting, this is a big participation event by
us. So we will put this on our upcoming events list to encourage
participation by all! This is a fun event. Please show up!

Fencing Demo - There will be a fencing demo on Sunday Oct 27th from noon -
3:PM at the Ann Arbor District library. It is a focused fencing only demo.

Grand Day of Tournaments (Nov. 16th) - Site tour will be happening. More
populace activities are being added such as games and fiber classes. Another
planning meeting soon.

12th night 2014 (Jan. 4th, 2014) - Site tokens (see new biz below)

Terpsichore 20 (March 29th, 2014) - No updates

St. Cecilia (May 9th-10th, 2014) - No updates

Old Business

Event Proposal - Wassail! (Dec. 14th) - This was our 3rd discussion of our 3
meeting discussion/approval process. Proposal is for spending up to $450 for
paying for site and some fudge amount. No concerns by anyone. Approved!

New Group Fencing Marshal - This was our 3rd discussion of our 3 meeting
discussion/approval process. William has thrown his hat in the ring to
become Cynnabar's next Group Fencing Marshal to take over from Galen who is
pregnant. Everyone at the meeting seemed fine with William as candidate. If
you have questions for William concerning him becoming the next GFM, please
come to the meeting and ask! Voted and Approved!

Budget line item - $25 reimbursement for UoM fee for having table at
Northfest - This will be our 2nd discussion of our 3 meeting
discussion/approval process. The University charges $25 for having a table
at Northfest. This was paid out of pocket by Gregor and Genoveva. We are
looking to reimburse them the funds. The only open question is can the group
reimburse funds without a receipt. We will ask our Exchequer about this.
Good, no issues.

UoM Student group/recruiting - As this will be an ongoing effort, we will
keep this on our meeting discussion agenda for the foreseeable future.

New Business

12th Night Site Tokens - This is a new budget line item request for spending
up to $50 for materials to make site tokens for 12th Night. The site tokens
will be cedar satchels with a stamped designs on them. The $50 would be for
purchasing fabric and thread to make the satchels. The cedar is being
donated. This was our 1st discussion of our 3 meeting discussion/approval
process. No concerns were raised.

practice.

Officer Repots (normally done on 4th Tuesday of each month)

Exchequer (Tristan) - Yes we have money and no we can't have any. We have
approx. 22.61 tons of wheat (which is equivalent to $7111.91).

Webminister (Aaron) - No report

Fencing Marshal (Galen) - It's getting cold and dark at practice and few are
showing up. Hopefully this will get better once we get inside. This upcoming
weekend (9/29) is our last outside practice.

MoAS (Arin) - (via e-mail) A&S craft nights continues as usual, next
reporting time is the 15 October, please send me a line before then, with a
short description of ongoing projects for the report. Please come by this
Tuesday to eat left overs from Rose Tourney. It is also time to plan new
projects for A&S competitions, and there is also a RUM coming up! Please
plan to attend or teach. And please thank everyone from me again, for
helping me with my vigil, and for sharing the day with me.

Mo Youth (Ceara) - We have kids and no we can't have any? :) Planning kids
activities for Grand Day of Tournaments. If anyone is interested in doing
youth classes please let Ceara know.

communicating with new people and contacts based on Northfest and Mass
Meeting demo. Lady Jocelyn has agreed to become her deputy.

Chronicler (Ermenrich) - (via e-mail) A recent list of baronies not in
compliance for newsletter was sent out. We are NOT on the naughty list!
Kingdom chronicler was pleased with the latest issue.

The next issue is set for December 5. I am looking to make it a winter
themed Citadel. Be thinking of articles you can contribute. Possible
options include a winter themed recipe, an article about winter holidays in
the Middle Ages, or even an original work of fiction (St. Cynnabarius Saves
Christmas?). Please have your submissions in by November 23rd so they can
be included.

Herald (Johannes) - Couple of submissions have passed and more submissions
are in progress. Herald night is first Monday in October. Also looking for
more people interested in doing vocal heraldry for Grand Day of Tournaments.

Knight Marshal (Jason) - No report

Archery Marshal (Godaeth) - Reopened the range on Sept 8th. The Closing of
the Range event is in name only. Archery practices will continue as long as
the weather holds out.

Seneschal (Finn) - Quarterly report has been submitted, a bit tardy but it's
in. Next Baronial business meeting is Oct. 14th.

Baron and Baroness (Hanna and Tairdelbach) - Crown is coming to Grand Day of
Tournaments. Therefore we need more volunteers for royal retainers and
guards. We also need prizes! If you are willing to donate a prize, please
see Their Excellencies. And with Crown coming, please send in award
recommendations, ideally at least 3 weeks or more before the event. Their
Excellencies will also take Baronial award recommendations as well. Their
reports will be filed soon. And we are still a Barony.
