20160919 Barony of Cynnabar Business Meeting Notes

*Mass Meeting *REVIEW?* Sunday Sept 18, 2016. Lady Hattie Michigan Union
Anderson Rooms 12 noon to 4 pm*. It went well. 8 student attendees. We
spoke to another 12 to 20, when you added all the observers who stopped to
watch the practice at arms.

*Ann Arbor Dance Event,* “Time Traveler’s Ball *Fri Oct 28, 2016 7:30
-11:00 pm. Michigan League Lady Morwen, Liaison. *
This historic dance event is on our calendar because the student group was
invited to participate in organizing it. All dancers are welcome. A web
site for the event should be up soon.
Tickets are available at the door. Historic clothing of all time periods is
encouraged but not required. Contact Morwen for information.
*Grand Day of Tournaments 2016 Sat Nov 5, 2016,* Liberty School, Ann Arbor

· Help is needed in picking up the List Field that we are borrowing
from Roaring Wastes.

*Rent a Handicap Porta John for use at Closing of the Range, Baronial
Archery Marshal Godaeth, $150.* *2nd of 3 meetings*
No questions or objections.
*GDoT Lunch Tavern,* Lady Ilse $600. *2nd of 3 meetings*
· The break even number for Tavern is to sell 100 lunches at a
charge of $6.00 for lunch combo. A la cart prices available, too.
· Menu will be the same as last year, but with Thin Bread and
Brownies instead of cookies.
· No other questions or objections
*Replenishing the Student Organization Account. $200. 2nd of 3 meetings*
· Shall we restock to that same $200 level? *Yes.*
· Shall we reduce the amount by the $50 authorized on 9/12/2016 and
approve $150? *NO.*
· $250 should get the Barony through 1 year at current expense
rated.
· Check to cover the Seneschal’s approved $50 expense from last
week was written and handed to Hattie. Thanks for covering the last week,
Hattie!
*Registering the Baronial Awards and Order Names and Badges. Mistress
Ursula, Herald. $136 (or-$140 with postage?)*
Shall the Barony complete and pay for the registration of our various names
and devices with the College of Heralds?
· Ursula is willing to do that work if we approve the estimated
$136 for 8 orders/ awards and 8 badges. Eadraed will shepherd the process,
as Pursuivant.
· This planning is proceeding, per Eadraed.
· Can we see pictures of the badges when the final designs and
clearances of conflict are done? Yes.
· No other questions or objections.
*Officer vacancies to be filled:*
Chatelaine – Applicant: Eidy
· Eidy is invited to send a Society resume and statement of what
she wants to do with the office when she is ready. She works Monday
nights.
Minister of Youth –
*New Business* (includes items potentially requiring budget outlays)

-11:00 pm. Michigan League Lady Morwen, Liaison. $300 1st of 3 Meetings*
Part of the contribution would be refunded to Cynnabar from Gate income of
the event. Refund would be in proportion to Cynnabar’s percentage of the
overall expenses. Currently that is about 30% of a $1000 budget. Expected
return is 20 to 25% of outlay or $60 to $75.
This event would support our recruiting among students by giving them an
opportunity to meet people involved in the arts of a different time period
than they are already investigating.
*Proposal to Revise the Cynnabar Financial Policy. Baron Ermenrich, $250
annually 1st of 3 Meetings*
Draft Wording of the proposed revision:
The Exchequer will annually in August restock the University of Michigan
Student Organization Account with $250, until usage indicates we change the
amount, frequency or account in which funds are kept.
· We had to restock this account in rather a hurry at the end of
summer 2015 and 2016.
· This proposal would make this a standard activity.
· It will smooth out the transition from summer to fall activities
and place resources ready for use in booking rooms for recruiting
activities, mass meeting and other school year uses of University spaces
and resources.
*Status check on approved budget items*
*Elephant’s Heart Medallions* – Name of Order corrected. Pieces will be
ready for the next baronial courts, at Closing of the Range and Grand Day
of Tournaments.
*Baronial Trailer* *Budget $3500-$3950* Wood lining in process.
* New Gloves for Rapier Practice and Training Lady Birke. $120 *6 pair
gloves at $20/ pair. Purchase will be 2 small, 2 medium, and 3 large
cuffed gloves. Per Birke purchase is not done.
*Announcements** & Group Discussion*
*The Cynnabar Student Group is investigating becoming a College. *
· The timeline for creating a new branch can be as long as 2 years
from idea to full status.
· Hattie is developing a set of goals for the University of
Michigan Student SCA Group around this idea and process.
· Student Members of Cynnabar are invited to consider becoming
officers of this group.
· The Baron and Baroness with the unanimous support of the meeting
request that each baronial officer take time to review Corpora and Kingdom
Law about the creation of new groups and sub groups of baronies in so far
as there are procedures in your area of responsibility. You may send facts
and items of interest to Kay, who will compile them for the group’s
information and use.
· A Town Hall style meeting would be a good way to get everyone
information at the same time.
· Questions, Ideas and mutual expectations will be compiled. *Starting
that list:*
o How is money managed? Funds are held by the Baronial Exchequer.
o How is a College different from a Canton?
*The post of Deputy Seneschal (Drop Dead) is about to be open.*
· Lady Ceara has a new position.
· Please let Kay know if you are interested.
· This can be a track to becoming the next Seneschal, too. That
post will open up in Spring or Summer 2017.

We are sending the State of the Barony report to Their Royal Highnesses.
