 Greetings!  I have to be away Monday 3/13 due to family business.  Master
Derian will moderate the meeting.  Event Proposals for GDoT are #1 on the
3/13/17 agenda to make it possible for potential Stewards to present and
discuss proposals together.

Staff News from Ms. Alina: she is seeking a Marshall of Dance, but the
first volunteer has had to step out.

at the Door.

*Grand Day of Tournaments- Nov 4, 2017 Site is reserved. Funding *Deposit
should go on the Agenda in January.  Pay in March?

*Terpsichore Printing:  Gavriil  $190 *for Dance Books, Class Schedules,
Misc signs and other items.* 3rd of 3 meetings*

·         The original Budget for the event had $150 for printing. The $40
adjustment is to print some extra Book copies, plus signage.  Any extra
after printing will be reserved for emergencies associated with this event.

·         Gavriil spoke with Ms. Alina.  He will produce the same book
count as 2016. 200 books yielded 60-70 extra copies for cash sale.

·         Needs:  New water proof file boxes, file folders, Hanging File
folders. No objections were raised.  Kay suggests a larger dollar amount,
as o shopping has been done yet.

*Kingdom 12th Night Reports missing:  *

Lady Ilse, Baronial Exchequer, reports that Kingdom Exchequer did not have the
NMR report or remittance or the event report and profit share remittance
from the Kingdom 12th Night held on January 7th in the barony.

As of Noon 2/27/17 the 2016 check on Reports and submissions was complete.  All
Items were reported by the Stewards of those events.

!2th Night:  all items have been located.  The final counts were reported
to Kingdome Exchequer this weekend so she would be able to submit her
report by 2/28/17, Tuesday. The report is underway and will be complete and
submitted by March 9.

*Deputy Seneschal (Drop Dead)* –Derian Le Breton has kindly accepted this
position.

1.      Chatelaine – Possible Applicant is Eidy.

2.      Minister of Youth – Ze’ev Ben Ami (Adi Peshkess) has expressed
interest on FB.

3.      Office of Group Marshal for Archery – This is the Reporting part of
the work. Lady Godaeth will continue as liaison and scheduler for practices
held on private land

I have asked Mistress Genoveva to send out her event proposal
electronically.  Meanwhile here are some notes about the discussion

·         Site and date as booked.

·         Add Tournaments for Non-Fighters; A&S and Service-related.  A&S
activities were requested in 2016 exit survey.  [How about a “Sing-Off?”
Kay]

·         Staff positions are still open, to leave room for volunteers now
that a plan is offered.

·         Straum says we could use more Coins.  Derian will organize that,
and we increased budget by $100 to produce 5000 more coins at $20/1000.

·         The Royalty may come.  Added $520 to budget to cover hotel for 2
rooms, 4 nights.

·         Do not count on good weather- Baron Straum.  We were very lucky
in 2016.

Planning for 110 guests. Mid Eastern $5 Meal Deal, with Mujadara (Lentils)
Chicken, sides, soda. Coffee & Tea Service all day. There was a request for
Hard-cooked Eggs.

*Event Proposal:  Cook’s Symposium October 13, 14 & 15, 2017 *St Paul’s
Church of Christ, Saline MI. *Baroness Hannah $525 1st of 3 Meetings*

Cynnabar is asked to host the Biennial Middle Kingdom Cook‘s Symposium.  This
event has happened for many years mostly in the Kalamazoo area.

·         The weekend selected has No Football!

·         Activities will include Friday night Lecture and/ or social
activity, classes and a potluck feast on Saturday, food related outing
off-site on Sunday morning.  This could be a tour of food and history
related places in The Barony, or a special class at such a place.

·         Note that the cost for use of St. Paul’s Church has gone up

·         Friday site access and times must be confirmed.  Is there still
an AA meeting and is in where we will want to set up?

*Support for Pentemere Shade Fly Rental (up to) $100 Baron Ermenrich.
          1st of 3 Meetings*

·         Sir Jorlief is organizing the rental of a large tent for the
Pentemere Battlefield Presence and Shade Fly at Pennsic War. The tent will
be decorate with baronial banners (we send ours) and will serve as rallying
point for units, shade, a place for your stuff, and a Presence Tent for the
Baronage of the region to hold field courts or evening activities.

·         Can each Barony help out?

*12th Night *Lady Ceara are all receipts in?     Helva has some profits
from Lunch Tavern to hand in. Ceara believes it is about $200.  No News

            LATE NEWS- Sunday we learned the NMR and Kingdom profit share
checks were not yet in. See Old Business, above.

*Registering the Baronial Awards and Order Names and Badges. *Mistress
Ursula, Herald. $100 ($36 disbursed 11/21) ($32 spent 2/13, disbursed 2/20)
$42 remains to be spent.

*Restock Cards,* *Brochures-** Chatelaine Box. *$75 Lady Daye.  Will advise
when done.

*Herald’s Office Eadraed $40 for Supplies *Eadraed Check cut?

*Contribution to Kingdom Baronial Retreat  $50/ one meeting.  *Check was
cut.  Branch to branch transfer form was completed.

*Announcements** & Group Discussion*

*No more Fudge Money!  *The sense of the Meeting was that we should call
this line item Miscellaneous, unless actual fudge is involved.  “Fudge
money” sounds too casual.

*Pennsic Planning: Sir Straum* – It is time to Pre-register for Pennsic.  He
is working on the camp fee structure. He plans to offer incentives to those
who work on Set-up and Tear-down.

*Future New Business Idea:*  Let’s discuss a *Policy for the use of the
Baronial Trailer*. We could not confirm that Baronial Financial Policies
covered the use of major equipment. We think the policy will Over-ride any
precedent set by a onetime use of the trailer for the Gulf War trip.

*Future New Business Idea:* Purchase A-Frame (Sandwich Board) signs to mark
event entrances.             These are the plastic ones.  Ms. Claire
reports larger version of the one used by the Chatelaines office exists.
Kay:  Will someone research prices and availability?  How much to put our
own design on the sign?  Or shall we add posters appropriate for each use?

*Officer Reports          Big 5 followed by rest.  Martial grouped.*

Min A&S (Aeffe) – Aeffe is looking for Deputies.  These would not be
necessarily Drop Dead Deputies, or future replacements.  It is a good way
to get involved in the Arts and Sciences in Cynnabar.

Chronicler (Gavriil) – Seeking to step down. He has been Chronicler for 10
issues. Anyone interested in this position could shadow Gavriil over the
next 2 months as he creates his final Citadel issue.

Exchequer (Ilsa) – Coffers will well filled as of the 2/20 report.

Herald (Eadraed) – Heralds and Scribes night on February 2 was well
attended.

·         *Herald’s Point event:* Ms. Ursula taught a class on creating
names. Eadraed worked at the consulting table.  There was a signing class;
he attended.

·         Plans are underway to create a Tabard of Office for the Cynnabar
Pursuivant to wear.

·         Eadraed wants to create permanent shield outlines on whiteboards
for trying designs. Methods were discussed.

·         Monday March 6 is Scribes & Herald’s night.  Dinner is Grilled
Cheese Sandwiches “Cut Your Way” in to heraldic Ordinaries.  Tomato soup,
too.  See Eadraed or Hannah for more info.

Chatelaine (Daege) – Daye is out of town but reports she has identified
someone who will organize Gold Key for Spring Revel.

The reporting crisis was solved under the leadership of Baroness Kasha,
with quick and efficient actions from the 2016/ 2017 event stewards and
Baronial Exchequer Lady Ilse. Kasha and I discussed pulling all those rules
together in to a checklist for event stewards.  It has been years since
there was a handbook for running events published in the Kingdom.

If anyone has event or meeting sites to suggest, please let me know.  I
would like to identify a meeting site with better parking, off campus, by
May.

Baron and Baroness (Kasha and Ermenrich) –

*Baron and Baroness:*

Baronial Retreat: 17 baronies represented out of 20 in the Kingdom.  A
valuable experience.

Laurel Retreat was also in Shadowed Stars this past weekend.  Ms. Kasha
reports that to better serve the Kingdom Laurels will hold social hours at
event.  Called “The Branch” this will be a place to talk about the arts and
sciences and to meet other artisans.

Baron Ermenrich was at Pentemere Academy of Defense: Lord Harkin inducted
into the Order of the Cavendish Knot. Lord Ze’ev ben Ami into the Bronze
Ring.

June 6, 2018 is the 20th anniversary of Cynnabar becoming a Barony.  We
should plan a celebration.  What would be cool things to do?  Hold and
event?  Celebrate at all our events that year? Collect stories of and from
the Barony?

Drunken Court Theme for Pennsic 46: Ragnarok.  Norse themes, come as a
monster or a god. “Brewery Becker” drinks are planned.

 And since I sat in meetings of the barons with the King all day last week
and he did not say anything to the contrary, We are still a Barony!
