Cynnabar Baronial Meeting 9 June 2022 in person, outside, ~22 in
attendance 8:30pm
*Announcements:*
· As of this time, the Middle Kingdom requires masking when indoors.
· To anyone registering for Pennsic, please be aware that Covid
rules for the Kingdom of Aethelmaerc will be followed. This includes:
o Proof of vaccination or negative test by professionals (no home tests)
within 72 hours prior to trolling in.
o Everyone masking indoors (see list on Pennsic webpage for those)
o Masking at all times for those who are not vaccinated
· From the MK Seneschal: We are in the process of migrating
services off the Midrealm Portal. This is being done as, unfortunately, the
portal is unsustainable in its current form and cannot be maintained long
term. Thus, capabilities are slowly being migrated to solutions that we
already own or can purchase, either as part of Google Workspace or
WordPress. This also means that we can manage our own tools and don't need
special programming skills to change them.
*New Business:*
*1. *We have completed the new BOD requirement for a contract, with
inventory listing, since we store Baronial goods at an individual’s home.
The loaner gear is covered by the contract we have with the church.
*2. *There are additional BOD changes, see the end of the minutes for
details.
*Old Business**: *
1. Their Royal Majesties need award tokens. After discussion, it
was agreed to select a date and set up an A&S craft night to make some as a
Baronial A&S activity. More to come, please talk to Ulfren with ideas.
*Officer reports:*
*Exchequer:* (Diamante): Report turned in, almost all the training done
(there is a LOT) – goal to finish end of June. Waiting for the Regional
Exchequer to sign at the bank. Asked Seneschal to follow up (done).
*Chatelaine:* (Ceara)
We have had 2 people contact us this week who have expressed interest in
joining! I have contacted them back and given them my contact details.
Hopefully we will see and hear more from them in the near future!
Celtic Fest is coming. I am still not feeling comfortable being indoors in
smaller places with large groups, or in public with large groups. I do plan
to attend at this time, but do need about 3-5 people willing to show up and
talk with the public. I would like to have a meeting of anyone interested
in helping at Celtic Fest, or becoming Chatelaine, at the practice on
Thursday July 7th to discuss. I will plan to meet outside.
I am planning to step down at Fall Revel . I would prefer not to leave the
group without a Chatelaine. I would certainly be here to guide anyone who
steps into the office or to assist newcomers if we are not able to obtain a
Chatelaine before that time. Unfortunately we have had little interest in
the barony for this particular office. I am hoping that maybe Celtic Fest
will encourage some excitement for it. Thank you for your time, Ceara
*Armored*: (Jorun): Practices and tournaments are taking place. Report
was turned in. Practice will continue outside, weather permitting.
*Rapier*: (Throckmorton): no practice yet, 2 fencers returning soon.
*Arts & Sciences*: (Ulfrun): We’ve started classes again on non-meeting
Thursdays. Goal is 1-2 each month. Scribal arts went well last week. There
has been an offer of coin collecting for your persona, presented by Godhit,
and a silk making class (sorry, Nezkha didn’t catch the presenter’s name).
*Herald:* (Aesa): nothing new to report.
*Social Media:* (Valka): no report.
*Chronicler: * (Gabriella) Please forward any content for next Citadel
via the official email.

*Their Excellencies:*
First of all, congratulations to Their Royal Highnesses Dag and AnneMarie
for becoming the Heirs to the Midrealm Crown! Cynnabar stands ready to help
them in any way we can! Fall Coronation will be September 24th in Ayreton
with a feast by Mistress Helewyse, and we want to make sure we are there in
force to show our support for Cynnabar's own!
A number of other exciting events are coming up, and we're looking forward
to the first Pennsic in ages and then an exciting set of events in the
fall. Registration deadline for Pennsic is June 16th so don't forget to
register and make sure that "Cynnabar" is the group that you indicate (not
"Barony of Cynnabar") when you go to the Coopers Lake website. Using
"Cynnabar" means that your registration will be bundled in with everyone's
so that when Straum and Tigwyn go to the site on land agent day, they will
get an appropriate allotment of land for all of us.
A sign-up site is being set up for a few things that Malachy and Óláfr will
need help with for the Barony’s activities at Pennsic, including food prep
and servers for the Known World Baronial Armored and Rapier Championships,
table hosts for the joint Waterbearers cart we're co-sponsoring in the
Midrealm pavilion at the battlefield, retainers for Courts, etc. (Straum
and Tigwyn will have sign-up for camp chores as well.)
Malachy was able to attend Baronial Border War last weekend and had a
marvelous time on the field as well as visiting with friends he hadn't seen
in ages. He said that the new site is lovely, and has tons of room for
growth and future events.
The big push after Pennsic will be for Vikings Come Home (Sept. 16-18) at a
lovely new site in Donnershafen. We'd like to invite everyone (that feels
comfortable with attending events) to join us that weekend for a Cynnabar
Family Reunion, so we all have a chance to gather together at a fun event
and catch up on what everyone's been doing over the Plague Years. Malachy
and Óláfr will be camping onsite the whole weekend, and look forward to
having "hang-out time" as well as getting the Cynnabar Army together to
Kick Hjørlief's Butt in the Viking Raids scenarios. ("Kick Hjørlief's Butt"
is a great band name!)

Please email Straum (Camp Land Agent) at straum at comcast.net , and cc Tigwin
(Tig709 at yahoo.com ) if you plan to camp and register. If you have never
camped with the group before – please email them in advance of registering.
The following changes to Corporate law and custom have been made and impact
activities and events in the middle Kingdom. Please disseminate and comply.
1) Minors may not serve as royalty, territorial barons or baronesses,
seneschals, exchequers, group marshals, or marshals in charge.
2) Changes to the golf cart policy. For events:
Privately owned golf carts are not allowed at any SCA event unless approved
in advance by the site owner, the event steward, and the seneschal in
charge. Proof of private insurance by the cart owner or operator is also
required. If golf carts are loaned or rented for use by an SCA group for an
event, SCA golf cart insurance must be obtained as well as a documented
rental agreement between the SCA legal representative and the owner or the
leasing company.
When a group rents/uses golf carts, the SCA’s Golf Cart Insurance must be
activated. All other requirements set forth by the Corporate Office dealing
with insurance apply including all pertinent late fees.
3) Policy On Event Sites Owned by SCA Member:
A representative of the SCA cannot also represent any private entity with
which the SCA does business. There must be a clear separation.
Property owned by SCA members may be used for SCA events. However, the
following conditions must be met:
a. The site owner(s) may not be event stewards for events occurring on
their property.
b. There must be a written contract, signed by the site owner and the SCA’s
legal representative (typically the local seneschal) spelling out the terms
under which the site is used. This contract must spell out any monetary or
other consideration given the site owner in return for the use of the
property.
c. This contract must be approved by the kingdom seneschal prior to signing.
d. Property owned by the seneschal or exchequer of the sponsoring branch
may not be used for an SCA event sponsored by that branch.
*Exception*: If the member-owned property is being used strictly for local
meetings or practices, and no monetary or other consideration is being
given by the SCA to the site owner, the site owner may oversee the meeting
or practice if they hold a local office whose duties would normally include
such oversight, such as local branch seneschal or marshal.
A “local meeting or practice” cannot be advertised outside the local area,
cannot appear in the kingdom newsletter or on the kingdom calendar unless
the kingdom customarily lists all such local meetings or practices, and
cannot be a multi-day event.
