[Cynnabar] meeting minutes

[Seneschal Cynnabar via Barony]

*Cynnabar Baronial Meeting   8 September 2022*, in person, outside  at  7pm,
14-16 in attendance
*Announcements:*

·         The Middle Kingdom does not require masking when indoors. Masking
is now a personal decision.

*New Business:*

1.         Discussion and voting session 2 of 3 for Mistress Giovanna to
become next Cynnabar Seneschal.

·         For  - majority    Opposed – 2

2.       Daye will be stepping up as Chatelaine when Ceara steps down at
Fall Revel.  If you are interested in being a Deputy, please let Daye or
Giovanna know.

3.       *Closing of the Range*  (Eliza):  tentatively Nov 6th.  Will
discuss making this a Baronial/ Regional event with Dillon, and if he
agrees, bring proposal for assistance with porta cost to next meeting.

4.       *GDoT 2023* :  Gregoire proposed for discussion moving Grand Day
to late Spring, to be outside – maybe May, the calendar is open, so that we
can plan activities, atmosphere, and pageantry.  The Ruby Jubilee site
doesn’t have enough parking, but there is a campground with lodges close by
(Straum). Gregoire is willing to help plan, but is not interested in being
Event Steward.



*Old Business**: *

·         Grand Day of Tournaments update (Diamante):   Monroe County
Fairgrounds,  11/19

·         Site contract to be signed Monday 9/12 at 11am. Site review by
Diamonte, Olafr, and Straum (tent.).

·         Can we have fighter food with any Covid restrictions ?  Yes,
should be individually packaged or distributed by someone with gloves/
tongs (not everyone reach in and grab).  - Nezkha

·         Lunch tavern? - Would have to have health department approval;
site takes percentage –question, percentage of profit or gross?  What
percentage?  - to be answered next meeting.  Discussion result was meh, not
a big deal.

·         Additional question: what are the site rules or individual food
for day camps, if any

·         Can we use any outdoor space?  - Diamante will look into this.

·         Pale ad for October, and addition to the MK calendar have been
created and published

·         Website was updated and published

·         Financial committee (Exchequer, Seneschal, all interested
baronial members) – to approve use of SCArs system for pre-registration for
event.  SCArs takes 4% fee for use. (Question was 4% of what, to be
answered next meeting).   *Discussed and approved.*

·         Diamante is looking for a few individuals to help organize things
up front. She’s available at most meetings, and is reachable at
cynnabar.exchequer at midrealm.org



2.         *Terpsichore* 2023  (Eliza)

·         Looking at *March 25* (preferred) or April 15 - waiting to hear
from St. Paul’s church council on date.

·         Talking to the church, Proposal forthcoming

1.       *Fall Revel*  (HE Olafr):  Had trouble with making contact with
Island Park and Milan Senior Center. Finally confirmed that Island Park is
available on Oct 23rd,  10am – 7pm, Shelter B (with bathrooms) with alcohol
(beer and wine only), and electricity, $201. Received resident discount
because SCA is non-profit.  Only potential SCA conflict is Crystal Ball.

2.       *Wassail*  (HE Olafr):  contacted Milan Senior Center for
availability Saturday, December 10th.



*Their Excellencies**:  *  - not in attendance.



*The next business meeting* will be Thursday, 22 September at 7pm in person
at the Milan site, outside if weather permits, presided over by Mistress
Giovanna (Nezkha is out of the country).   The meeting after that will be
Thursday,  13 October, presided over by Mistress Giovanna (Nezkha returned
the day before from out of the country).
