20170619 Barony of Cynnabar Business Meeting Notes

Sidetrack Bar & Grill, Ypsilanti

Meeting 7:30- 8:30. _ 15_ attendees.



Attending: Derian, Ermenrich, Aeffe, Godhit, Morwen, Johannes, Hannah,
Tairdelbach, Gavriil, Kasha, Ionis, Harkin, Eadred, Ceara, Ionis, Ede


*Workshop Topics:** No workshop tonight.* Ask Baroness Kasha if you would
like some reinforcement and encouragement to give your class on something
that interests you.

Meeting began at _ 7:30 _pm.

*Upcoming Baronial Events and Demos*

*Celtic Fest Demo Saturday July 15, 2017 Demo *– Baron Tairdelbach  $100
snacks and drinks

·         Set up is the evening of Friday July 14.

·         This year we will do thrown weapons instead of archery.



Request up to $50 to replace axe handles / knives / spears that might get
damaged.

Handles run about $7 a pop, this should cover the anticipated need

*Cook’s Symposium October 13, 14 & 15, 2017 *St Paul’s Church of Christ,
Saline MI. *Baroness Hannah $525     Breakeven 66*

·         We are starting to schedule classes and meet with key staff
members.

·         Baroness Hannah is also soliciting bids for lunch taverns and
will be contacting people soon about that.

·         Contract with St. Paul’s exists, Aelfric is working on getting us
a copy.

·         We have secured a speaker for Friday night – held at UM hatcher
grad library, Longone collection – historical cooking documents! Limited to
25 people, possibly need more volunteers

·         Lots of out of town interest, one person from the East, two from
Chicago.

·         FB event and website are up

·         Staff meeting two weeks ago, potential for 30 classes.

·         Permission from church obtained for outdoor firepit

·         Evening potluck instead of feast

·         If you can supply crash space, please contact Ceara.

*Grand Day of Tournaments- Nov 4, 2017 *Liberty School, Saline MI.*
Mistress Genoveva Steward $2260 breakeven 174 (may change)           *

·         *Site is reserved. *Deposit should go to the school in July.

·         *Prize coins have been ordered!*

*Old Business*

*A Proposed Policy for the use of the Baronial Trailer *Presented by Kay,
NO Budget.* 8th of 3 Meetings*

The Barony needs a policy to guide decisions about what we use our trailer.
The discussion Monday raised some ideas for revision.

Trailer insurance from SCA is liability only.

Opinion poll closed, thank you to those who provided feedback.  Proposed
policy will be amended to state that additional uses of the trailer may be
approved via the standard three meeting process and with approval of the
quartermaster.

Trailer lining is in progress, should be done this weekend – Status? Done!



*Officer vacancies to be filled:*

1.      Exchequer – Lady Ilse has informed us of her intent to step down as
exchequer.  If you are interested in this position, please talk to her or
Derian.

2.      Minister of Youth–

*New Business* (includes items potentially requiring budget outlays)

Baronial office of chatelaine requests $200 to refill brochures &
pamphlets, celtic fest and nov possible demo. *First of three meetings*



*Status check on approved budget items*

*Registering the Baronial Awards and Order Names and Badges. *Mistress
Ursula, Herald. $100 ($36 disbursed 11/21/16) ($32 spent 2/13, disbursed
2/20/17) $42 remains to be spent. Process continues, reports Eadraed.  $16
of approved funds requested on 6/12/17.

*Exchequer Office Supplies. $50.00-$75.00  *Lady Ilse*  DONE? *Kay thinks
yes, and that costs ran over budget by a few dollars.

*Announcements** & Group Discussion*



If you are doing anything at Pennsic like running a tournament or other
event, contact Their Excellencies!  The calendar has been shared with the
Barony.



Next summer, 2018, 20th anniversary as a barony, 40th anniversary as an SCA
group!  The Barons and Baronesses of Cynnabar are planning an event;
September 2018.  If there is anything you think is critical for such an
awesome event, please communicate it to Their Excellencies.



Site visit occurred, a few minor things to figure out but generally
positive, event planning committee will be having a meeting soon – His
Excellency has pictures on his phone to share, please come talk to him
about it!  A LARP group uses it, so they are used to folks like us.  The
site has eight cabins!  There is space for tent camping as well.  Parking
is the biggest challenge, several areas possible for parking but would need
some work.  Alcohol is OK.  Flush toilets!  Showers!



The calendar for next year is in flux.  If you are thinking about running
an event in the spring, you really want to get it on the calendar NOW.
